Proforma invoice (PI) generator

Subtotal, discount, total and deposit of a proforma invoice

A PI total is the sum of the lines (quantity × unit price, to the cent), less any discount, plus freight and insurance; a deposit rate gives the deposit and the balance.

Example: 3 goods lines come to a subtotal of USD 31,722.04; less a 5% discount, plus USD 1,800.00 freight and USD 95.50 insurance, the total is USD 32,031.44; a 30% deposit is USD 9,609.43 (rounded half up to 2 decimal places).

Not covered
  • No tax line: export sales are usually zero-rated or exempt, so a PI does not normally show tax, and the refund is the seller's own matter.
  • Every currency is worked to two decimal places; currencies with no minor unit, such as JPY and KRW, are not handled separately yet.
  • Up to 50 goods lines; one discount, taken on all the goods.
  • What you type is not sent to this site and is not put in the address or a share link; it is kept only in your own browser, and you can clear it at any time.

FAQ

What does PI generator give for an example?
Example: 3 goods lines come to a subtotal of USD 31,722.04; less a 5% discount, plus USD 1,800.00 freight and USD 95.50 insurance, the total is USD 32,031.44; a 30% deposit is USD 9,609.43 (rounded half up to 2 decimal places).
What is a proforma invoice (PI)?
A PI is a document the seller sends the buyer before the order is confirmed, stating the goods, unit prices, total, price term and payment terms. Buyers often use it to arrange payment or a letter of credit. It is not the commercial invoice used for customs.
How are the discount, freight and insurance worked out?
The discount applies to the goods (the subtotal) only. Freight and insurance are added exactly as you enter them, with no discount. Total = subtotal − discount + freight + insurance.
Why is there no tax line?
Export sales are usually zero-rated or exempt, so a PI to a buyer does not normally show tax; the refund is the seller's own matter and does not appear on the PI. This tool has no tax line.
